This policy, version 2026-05-06, applies to all participants at PI events. Sections 2 and 3 apply only to speakers, panelists, organizers, and Educational Outreach participants.

Introduction

Perimeter Institute (“PI”) records lectures, conferences, public talks, colloquia, seminars, workshops and educational events to support science outreach, education, and research dissemination. Recordings may appear on PI websites, social media, PIRSA.org, and through media partners, including broadcasters and streaming services. 

If PI wishes to use a recording outside the context of education or research dissemination, additional permission will be requested from the presenter. 

1. General Media Consent (All Participants)

By attending a PI event, I understand that:

  • My image, voice, and likeness may be recorded (video, audio, photography).
  • These may be used for promotional, educational, archival, or institutional purposes, including but not limited to: websites, social media, broadcast/streaming, and publications.
  • Audience members may appear in Q&A sessions, candid crowd footage, or group photos.

If I wish to avoid being recorded, I will seat myself accordingly out of camera view. I understand that this may not be possible in all of PI's theatre or lecture rooms. 

2. Presentation Recording (Speakers, Panelists, Organizers, Educational Outreach participants)

If I am giving a presentation or serving as a panelist or organizer, I understand that:

  • My talk (including slides, audio, and video) will be recorded and archived on PIRSA.org and other platforms, with public access unless I request an embargo.
  • Recordings may be used for educational, promotional and institutional purposes.
  • PI will request additional permission for use outside these purposes.
  • PI owns the recording, and I give PI a perpetual licence for reasonable public use.
  • I am responsible for ensuring all third-party materials comply with copyright or Fair Use.
  • I release and indemnify PI from claims related to unauthorized material in my presentation.
  • If I also agree to be interviewed, I give PI permission to photograph, video, or audio record me and use the resulting materials (name, likeness, voice, performance, and work) for institutional, promotional or educational purposes. 

3. Live Streaming (Speakers, Panelists, Organizer)

If I am a speaker, panelist, or organizer I acknowledge my presentation may also be live streamed by PI or its media partners.
